Every pharmacy software demo shows a long feature list. The honest way to judge one is to walk through an ordinary day at your counter and ask, at each step, whether the software makes that step faster, safer or cheaper. Here is that day.
Morning: stock arrives
Matters: purchase entry that records batch and expiry
When the distributor delivery comes in, every item needs its batch number, expiry date, purchase rate and MRP entered. If the software makes this slow, your staff will skip it, and then your stock and expiry figures are wrong for the rest of the month. Look for fast keyboard entry, and ideally the option to read the distributor bill instead of typing it.
Matters: rate change warnings
If a distributor quietly raises a purchase rate, you want to know before you pay, not when your margin report looks strange next quarter.
Midday: the counter is busy
Matters: billing by keyboard, in seconds
Type the first letters of a medicine, pick it, enter the quantity, print. If a bill needs the mouse, it is too slow for a queue. Ask the vendor to bill five items in front of you with the mouse unplugged.
Matters: the oldest batch chosen for you
The software should pick the batch that expires first, so old stock leaves before new stock.
Matters: loose tablet sales
Selling half a strip is normal. The software should handle it and keep your stock count right.
Matters: Schedule H1 details
When an H1 medicine is billed, it should ask for the patient and doctor details the register needs, so the register is complete without a second step.
Evening: the internet goes off
Matters: offline billing
This one is not optional. If billing stops when the connection drops, you will be back on a bill book within a month. Ask exactly what happens when the internet goes off in the middle of a bill.
Once a month: the jobs that cost money
Matters: expiry alerts with rupee values
A list of what expires in the next 90 days, with the value of each batch, tells you what is worth returning while the distributor will still take it back.
Matters: GST figures from your bills
Your GSTR 1 and GSTR 3B figures should come straight from the bills you printed, grouped by rate, with no re entry.
Matters: dead stock and the shortbook
What has not sold, and what customers asked for that you did not have. Two lists that directly change what you order.
The features that look good and get ignored
- Dashboards with twenty charts. You will look at three numbers. Make sure those three are easy to find.
- Loyalty points programmes that need customers to carry a card or remember a code.
- Features only a chain uses, like head office approvals, if you have one shop.
The questions that matter more than any feature
- Will you import my existing stock list, and what does it cost?
- Does it print on the printer I already have?
- If I stop paying, can I export all my data?
- When something breaks at 8 PM, who answers, and how?
